No one likes to be criticized, but feedback is the one of the most effective ways to improve performance as an organization or an individual. It’s critical to enter into feedback conversations with an open mind and the attitude that you are willing to do what it takes to improve your outcomes.

Here’s a great way to start:

Ask for feedback. Don’t wait until feedback is offered – request it. An offhand “how am I doing” won’t be enough to generate the thoughtful input you need. Most people will just reply with “fine” which really means nothing. If you want your company to receive actionable feedback, set up a program that solicits input from employees and customers. If you are an employee, ask for a meeting with your supervisor to discuss your performance. Be prepared with a list of questions and successes to go over.

Write it down. If you are receiving feedback in person, be sure to take notes. You may miss things or forget in the moment. Writing things down will give you the opportunity to go over your notes a bit later when you’re not as emotional.

Don’t be defensive. Stay open-minded to the feedback. Really listen to what’s being said and consider how you can incorporate it into how you work. If you find yourself feeling attacked or confused, take a step back to absorb what you are hearing.

Ask follow-up questions. If you receive feedback, don’t hesitate to ask questions to clarify or get more detail. It’s easy to misunderstand what’s being said in these situations. Only by having a two-way conversation can it be truly productive.

Confirm with others. If you get negative feedback that doesn’t seem to make sense or really blindsides you, ask others for confirmation. Getting the same sort of feedback from several sources can confirm that it’s valid or establish that it’s not.

Create an action plan. Listening alone isn’t enough. Consider how the feedback can help you to improve. Positive feedback can confirm you are on the right track. Negative feedback can provide areas for improvement.

Check in later. Circle back with the people who gave them the original feedback. Those providing the feedback will know they were heard and you will be able to demonstrate you used the input they provided to improve your performance.
